Auto Repair Service Inquiry Response: How to Quote Before You See the Car

BOTrento Team7 min read

The safest way to quote an auto repair enquiry before you see the car is to quote in two parts: a fixed-price diagnostic, plus a clearly labelled range or ‘to be confirmed’ line for the repair itself. Reply the same day, ask three or four targeted questions, and state what the quote does and does not cover.

Customers write ‘it makes a noise when I brake’ or ‘warning light is on’, not ‘the front pads are worn’. If you guess a repair price, you risk losing money; if you only say ‘bring it in’, you risk losing the job to the garage that answered properly. This guide covers business and fleet enquiries as well as private ones.

Why symptom-based enquiries are hard to quote

A symptom can have several causes with very different costs. A pulling steering wheel might be tyre pressure, alignment or a worn component. A warning light might need a code read or a deeper fault search. The customer cannot tell you which, and often expects a single price anyway.

The answer is not to refuse to quote. It is to separate what you know (the cost of finding the fault) from what you do not yet know (the cost of fixing it), and to say so plainly.

For the general principles of fast first replies, see our answer on how to reply to sales enquiries faster. For a workshop-specific triage table and templates, read car workshop enquiries: quotes and bookings without phone tag.

The questions to ask in your first reply

Keep it to a handful. Every extra question lowers the chance of a reply.

  1. Vehicle: make, model, year and registration (or VIN).
  2. Symptom: what happens, when (cold start, braking, at speed) and since when?
  3. Warning lights or messages: which ones, and are they steady or flashing?
  4. History: any recent work, and is the car under warranty or a service plan?
  5. Urgency: is it driveable, and when does the car need to be back on the road?

A photo of the dashboard or a short video of the noise often saves a phone call. Ask for it if it is easy to send.

Scope safely: diagnostic first, repair range second

Structure the quote in three lines:

  • Diagnostic: fixed price, what it includes (code read, inspection, test drive) and whether it is credited against the repair if the customer goes ahead.
  • Likely repair: a range or a price for the most probable cause, marked as an estimate until the fault is confirmed.
  • Approval rule: you will not carry out extra work beyond the agreed amount without written approval.

That last line protects both sides. It also makes the customer more comfortable saying yes before the car arrives.

Words to avoid

‘Probably just…’ and ‘should be about…’ without conditions. If it turns out to be more, the customer remembers the first number. Use ‘if the fault is X, the cost is Y; if it is Z, we will confirm before starting’.

Subject: Your enquiry – [make/model], brake noise

Hello [Name],

Thank you for getting in touch. From your description, the cause could be worn pads or discs, or something less common, so I would suggest starting with a diagnostic check.

Diagnostic check: €[X] excl. VAT. This covers inspection, test drive and a written finding. If you go ahead with the repair, we credit it against the work.

If it is worn pads/discs: €[X–Y] excl. VAT including parts and labour. We will confirm the exact figure once we have seen the car, and we will not start any extra work without your written OK.

To book you in, could you confirm the registration, whether the brake warning light is on, and when the car is available? We have space on [day] or [day].

Kind regards,
[Name]

Warranty questions

When someone asks whether a repair is covered by warranty, do not promise. Say what you need to check (invoice date, original work, manufacturer or dealer terms), ask for the paperwork, and tell them you will confirm after inspection. If a question is legal rather than practical, suggest they take advice.

Follow up on estimates that go quiet

Most unanswered estimates are not refusals. The customer is comparing, waiting for a budget decision, or has forgotten. A simple rhythm works:

  1. Two to three working days after sending: a short check that the quote arrived, offering to answer questions.
  2. About a week later: restate the diagnostic slot you can offer and the next available date.
  3. Final note: say you will close the enquiry, but the quote remains a reference if they return.

Write down every promise, such as ‘I'll check the part price and call you Thursday’. Those are what get forgotten. Our answer on how to stop forgetting quote follow-ups goes through the basics.

Fleet and company-car enquiries follow the same logic, with more emphasis on turnaround and invoicing terms. The guide on fleet booking enquiry replies shows how to state terms clearly.

How BOTrento handles this routine

BOTrento Chief of Staff is a managed process for enquiries and quotes. It watches your mailbox and uploaded data, and every working morning it shows a ‘Today 1+3’ overview in the app and by email, so you see what needs a reply first.

It prepares draft replies, quotes and follow-ups in four languages, so a symptom enquiry gets a structured draft with your clarifying questions. It also picks up promises such as ‘I'll call you Thursday’ and reminds you. Nothing is sent without a person approving it. BOTrento does not send anything itself, does not confirm bookings, and does not read attachments, so it works from the text of the email.

It is not a CRM or accounting system. If you use Pipedrive or HubSpot, you can import data as CSV or XLSX. Gmail, Google Workspace and Microsoft 365 work for now by forwarding or import; other mailboxes can connect via IMAP. AI is included in the plan with a monthly usage limit, and a bring-your-own API key is optional. See the process demo for what it looks like.

You can test it on your own enquiries: 14 days free, no card and no API key needed. The 14 days begin when you first upload data. Details are on the free trial page. For privacy questions, start with the GDPR checklist for AI sales tools.

A quick checklist before you send

  • Did you reply the same working day?
  • Did you ask for vehicle, symptom, warning lights, history and urgency?
  • Is the diagnostic a fixed price and is the repair marked as an estimate?
  • Does the quote say that extra work needs written approval?
  • Did you offer two booking slots?
  • Is a follow-up date set?

FAQ

Can I quote a car repair without seeing the vehicle?

Yes, as long as you separate a fixed diagnostic price from an estimated repair cost and say the estimate is confirmed after inspection. Include a rule that extra work needs written approval.

Should I charge for a diagnostic?

Most workshops do, because it takes technician time. Many credit the fee against the repair if the customer proceeds, which makes it easier to accept.

How do I answer a warranty question by email?

Do not promise cover in the first reply. Ask for the invoice or paperwork, explain what you will check on inspection, and confirm afterwards. For legal disputes, suggest proper advice.

How quickly should a garage reply to a quote request?

Aim for the same working day, even if the reply is only your clarifying questions and a booking offer. A fast, structured reply often beats a slower, more detailed one.

Summary

  • Quote symptom enquiries in two parts: fixed diagnostic and an estimated repair.
  • Ask five short questions: vehicle, symptom, warning lights, history, urgency.
  • State that extra work needs written approval.
  • Do not promise warranty cover before checking paperwork and the car.
  • Follow up in a set rhythm and record every promise you make.
