How can you reply to sales enquiries faster?

Short answer

You reply to sales enquiries faster with three habits: acknowledge every enquiry on the same business day with a short message and a next step, keep templates ready for the most common enquiry types, and see in one place who is waiting for a reply and who owns it. An AI assistant such as BOTrento drafts the reply and shows the most urgent enquiries every morning, but a person always approves what is sent.

Why replies to enquiries take so long

Delays rarely happen because the reply is hard to write. More often the enquiry sits in the personal inbox of a colleague who is in a meeting, a piece of information is missing (price, a free date, equipment availability), or nobody knows who should handle it. Each of these adds hours or days, even though writing the reply takes a few minutes.

Five steps to faster replies

  1. One entry point and one owner: enquiries from the website, email and phone in one place, each with the name of the person handling it.
  2. A quick acknowledgement: on the same business day, a short reply such as “We have your enquiry and will send the quote by Thursday”. The customer knows where they stand and you have time to prepare an accurate quote.
  3. Templates by enquiry type: price question, date request, availability check, repeat order. Always complete the template with the specific details.
  4. Information at hand: the current price list, workload and availability in one place, so the reply doesn't wait for someone to look things up.
  5. Measurement: track the time to first reply and the share of enquiries left without a reply. What you don't measure is hard to improve.

Where AI helps and where it doesn't

An AI assistant can sort enquiries, pull the date, venue and scope out of an email and draft a reply in the customer's language. It cannot confirm a date, availability or a price that isn't in your own material. For sales communication we therefore recommend “AI prepares, a person approves”: you gain speed in preparation and keep control at the moment of sending.

How BOTrento does it

BOTrento Chief of Staff keeps track of enquiries in your mailbox and in the data you upload. Every business-day morning it shows the Today 1+3 overview — one main priority and three more, each with a reason — and drafts replies in four languages (Czech, English, German, French). Nothing is sent without your approval.

At the start of the free trial it prepares a “money left on the table” report with unanswered enquiries, forgotten promises and proposals without a follow-up, so you can see straight away where replies get stuck.

Frequently asked questions

How quickly should I reply to a sales enquiry?

As soon as possible, ideally on the same business day, at least with a short acknowledgement and a next step. The full quote can follow later, as long as the customer knows when to expect it.

Should enquiries be answered automatically?

An automatic acknowledgement of receipt is fine. A substantive reply with a price or a date should be checked by a person before it is sent, because AI doesn't know your current capacity. That is why BOTrento never sends anything on its own.

Do I need a CRM to reply faster?

Not necessarily. At lower volumes a shared mailbox or a spreadsheet with status, owner and next step is enough. BOTrento works on top of the email and data you already have and does not replace a CRM.

How do I measure enquiry response time?

Record when each enquiry arrived and when it got its first reply, then track the weekly median. The step-by-step method is in our article on measuring enquiry response time.
