Without a key: what applies
- AI is included in your plan and during the trial. You don't set up or pay for anything else.
- 1 case = 1 sales case actively handled in a given month. AI is included with a monthly usage limit: we alert you at 80%, and at 100% new work pauses until next month. A higher limit or a bigger plan can be agreed individually. No automatic extra charges; older data stays available.
- We process text through our own API account with a commercial language-model provider, which does not use it for training.
When your own key makes sense
- You want the AI contract and billing directly. The provider bills usage through your key to you, with no markup from us.
- You want to see exact usage. The provider shows every request and lets you set your own monthly limit.
- You want processing on your own account. The model processes only the text needed for the task, through your account with the provider and under your own agreement with them.
Tip: create a separate key just for BOTrento. If you revoke it later, your other apps are not affected.
How to get a key
Your own key works with Anthropic (Claude) today. OpenAI, Google Gemini and other providers are in preparation. Menu names reflect the state as of 30 Sep 2026; usage prices are always listed by the provider.
Anthropic (Claude)
The provider your own key works with in BOTrento today (Claude: writing emails, summaries, priorities).
- Sign in to the Claude Console at platform.claude.com (the old console.anthropic.com address redirects there).
- Set up payment under Billing — the API is billed separately from any Claude subscription.
- Open Settings → API Keys and click Create Key. Name it e.g. “BOTrento”.
- The key is shown only once — copy it and paste it into BOTrento.
Spending limit: Settings → Billing → Spend limits section → Set limit (or Adjust limit). Once the limit is reached, the API stops responding until the end of the month.
Set a monthly spending limit
We recommend setting a monthly limit (or at least an alert) with the provider. Start low and raise it once you see actual usage in the first weeks. If the limit runs out, the provider stops processing requests and Chief of Staff cannot prepare new drafts until the limit resets or is raised.
Where to add the key
- Sign in to app.botrento.com.
- Open Settings → API keys.
- Paste your Anthropic key and save.
- The system tests the key and shows its status (working / invalid).
Security
- We store the key encrypted (AES-256-GCM) and never send it back to the browser.
- In the admin you only see the last 4 characters of the key.
- You can remove the key at any time — it stops being used immediately. To be safe, revoke it with the provider too.
- Never send a key by email or chat — not even to us. Only enter it in the admin. We're happy to help at info@botrento.com.
