Reply to an enquiry

When to use: Within a few hours of receiving the enquiry — when you know what to offer but need 2–3 more details.

Subject: Re: [enquiry subject] – [your company]

Hello [name],

thank you for your enquiry about [what / which event / which job]. We will be glad to prepare a quote.

To make it accurate, we just need:
1. [date / place / scope]
2. [number of items / people / days]
3. [budget or expected level of solution, if you know it]

Once you send these, we will get the quote to you by [time, e.g. tomorrow 12:00]. If a short call is quicker, just reply with a time that suits you and we will call.

Kind regards

  • • Ask for no more than 3 things — a longer list puts people off replying.
  • • Always give a specific time when the quote will arrive.

Enquiry acknowledgement

When to use: Right after the enquiry arrives, when you cannot prepare the quote the same day.

Subject: We have received your enquiry – [subject]

Hello [name],

we confirm that we have received your enquiry about [subject]. [Colleague's name] is looking after it and will get back to you by [day and time] at the latest.

If it is urgent or you have more details, just reply to this email or call [phone].

Thank you — we will be in touch soon.

  • • A named person and a deadline build more trust than a generic “we'll be in touch”.
  • • Send the acknowledgement outside office hours too — automatically or from your phone.

Template questions

What is in the pack?

8 email templates covering a whole sales case — from replying to an enquiry to a payment reminder — with tips on when to use each, plus a recommended follow-up cadence. As a printable web page and as a DOCX document for Word or Google Docs.

What does it cost?

Nothing. Just an email address to send the pack to. Over the next 10 days you get 3 more short emails with tips; you can unsubscribe with one click in each of them.

Can I edit the templates and use them in my company?

Yes. The templates are for your own sales emails — adapt them, share them with colleagues and use them without restriction.

How do the templates relate to BOTrento?

BOTrento follows similar rules to track who is waiting for a reply and which quote to chase, and drafts the email. But the templates work perfectly well without it.
