For event and production agencies

Event enquiries under control — from date and venue to follow-up.

An event enquiry arrives with a date, venue, guest count and equipment wishes — or without half of them. BOTrento pulls out the essentials, drafts a proposal with equipment and crew and keeps track of the follow-up so the proposal doesn't get lost.

A person always confirms dates and availability. The AI never confirms a booking or a free date — it drafts the reply and reminds you what needs checking.

A day with BOTrento

A sample day showing how it can look. These are not a specific client's data and not a promise of results.

  1. 7:30

Morning overview, Today 1+3: the main priority is a company party enquiry that has been waiting since yesterday. Three more: a proposal with no reply, an enquiry without a venue and a German-language question from a client abroad.

  2. 9:00

A new enquiry comes in from the website. The assistant lists the date, venue, guest count, sound and lighting needs and budget, flags what is missing and drafts a reply with follow-up questions.

  3. 10:30

The producer reads the draft, changes one sentence and sends it. Without her approval nothing would go out.

  4. 14:00

Proposal draft: equipment and crew items based on your price list and similar past proposals. The producer checks that the equipment and people are free that day and confirms the prices.

  5. 16:30

Follow-up: a proposal sent last week has had no reply. The assistant suggests a short reminder with one specific question; a person approves sending it.

Typical situations

What the assistant does and what a person decides

Nothing is sent without your approval.

An enquiry missing the essentials

“We're planning a company event in June, please send a proposal.” Without a date, venue and guest count you can't price it.

AssistantLists what the enquiry contains and what is missing (exact date, venue, guest count, budget, equipment) and drafts a reply with a few clear questions.

A person decidesApproves or edits the reply and sends it. Decides whether you want the job.

A proposal with equipment and crew

The client has filled in the details and expects a proposal: stage, sound, lighting, crew, transport.

AssistantBuilds a draft list of items from your price list and similar past proposals and flags requirements from the enquiry that the proposal doesn't cover yet.

A person decidesChecks equipment and crew availability in your own system, confirms the prices and sends the proposal.

Dates and availability

“Are you free on Saturday? We need to know today.”

AssistantDrafts a reply saying you will check and confirm the date and puts the question at the top of the overview. It never writes that the date is free or booked.

A person decidesChecks the calendar and confirms the booking personally.
