Quote follow-up: when to chase, what to write and when to stop

BOTrento Team · Updated 8 min read

A follow-up after a quote works when you get in touch at the moment you agreed with the customer and bring something useful each time: an answer, a date or a simpler decision. A follow-up becomes annoying when it only repeats "have you had a chance to look?" with no new information and no clear end.

Most small businesses don't struggle with how to word a reminder. They struggle because nobody keeps track of it. The quote goes out, the inbox fills with new enquiries and the reminder is forgotten. Below you will find a cadence, three email templates, a rule for closing and a way to manage follow-ups without a manual spreadsheet.

Why customers go quiet and what it means for your follow-up

Silence after a quote rarely means "no". More often it is one of these situations:

  • Someone else decides – your contact has forwarded the quote and is waiting for approval.
  • They are comparing – several quotes are on the table and yours doesn't stand out through a clear scope or next step.
  • Something is unclear – assumptions, an option or a line item aren't explained, and the customer doesn't want to ask.
  • The event has shifted – the date, budget or scope is changing and the quote is "on hold".

This gives you a practical rule: every follow-up should address one of these causes. Instead of "I just wanted to check whether you saw the quote", offer a short call with the decision-maker, a cheaper option, an explanation of a line item or confirmation of an available date. Many questions and silences disappear when the quote is built well the first time – see how to handle sales enquiries fast without losing any for the process around it.

Agree the follow-up in the quote itself

The least annoying follow-up is the one the customer expects. In the cover email, name a concrete next step: "I'll call you on Thursday morning to finalise the technical requirements." The reminder is then not an interruption but a promise kept.

Cadence: when to get in touch

There is no universal cadence. It depends on the event date, the size of the deal and how quickly the customer decides. As a starting point for event companies, equipment rental and B2B services, this structure works well; adjust it to your own experience:

StepWhenGoal
1. ConfirmationRight after sending, or within two working daysCheck the quote reached the right person and offer a short walk-through
2. Substantive follow-upAfter a few working days, at the latest on the agreed dayAnswer the likely question, offer an option or a call
3. Deadline follow-upBefore the quote expires or the reservation is releasedRemind them of a real reason to decide (date, capacity, price validity)
4. ClosingAfter expiry with no responseClose politely and leave the door open

Three rules for timing

  • Follow the event date, not the salesperson's calendar. For an event a few weeks away, intervals are shorter; for a large deal for next season, longer.
  • Don't send two messages in a row through the same channel without a reply. If email didn't work, try the phone, and vice versa.
  • A deadline argument must be true. Write "we're holding the equipment for you until Friday" only if you really are.

Follow-up email templates

The templates are deliberately short. Add specifics from the quote – event name, date, quote number – and one extra thing the customer didn't have before.

1. Confirmation after sending

Subject: Quote no. [number] – [event name, date]

Dear [Mr/Ms surname],

I'm confirming that the quote for [event name] has been sent. If you are passing it on for approval, I'd be happy to go through it with you or a colleague by phone – ten minutes is enough. Would [day] or [day] suit you?

Kind regards
[name, phone]

2. Substantive follow-up with new information

Subject: Re: Quote no. [number] – option without [item]

Dear [name],

With similar events, clients often ask whether [item] could be reduced to save costs. I've therefore prepared an option without it – the difference is in the attachment. Nothing changes for the date of [date].

If anything needs explaining or adjusting, just send me one line and I'll prepare it.

[name]

3. Closing the quote

Subject: Re: Quote no. [number] – closing

Dear [name],

The quote for [event name] has now expired, so I'm closing it on our side and releasing the equipment reservation. If the event is rescheduled or you plan another, just reply to this email and we'll pick up where we left off.

Thank you for your interest, and I wish you a successful event.

When to stop following up

Endless chasing damages a relationship more than one missing reminder. Stop when any of these happens:

  • The customer said "no" or "not now" – thank them, ask for the reason in one sentence and record it.
  • All agreed steps, including the closing email, have been done and no reply came.
  • The quote has expired and the event date can no longer be met.

Closing doesn't mean deleting. For each closed quote, record the reason (price, date, scope, no reply) and, if relevant, a date to get in touch about next season. From these notes you can tell which quotes deserve careful preparation and which are better done quickly and in a standard form.

How to track follow-ups without a manual spreadsheet

A "sent quotes" spreadsheet works for as long as someone updates it diligently. In peak season that is usually the first thing to slip. It is more reliable when each quote carries three mandatory fields in the CRM (HubSpot, Pipedrive or similar) or in one shared record:

  1. Status – sent, in negotiation, awaiting approval, won, lost, closed with no reply.
  2. Next step – a concrete action, not just "follow-up", for example "send option without lighting".
  3. Date and owner – when and who. A quote without a next-step date is a quote that gets forgotten.

A five-minute daily check

  • Which quotes have a next step due today or yesterday?
  • Has a reply arrived that changes the status and nobody recorded it?
  • Is there a quote in the records without a next-step date?
  • Is a quote expiry or reservation release approaching?

Once you have a daily routine, it helps to measure it as well – 6 KPIs a small business needs to track every week shows how.

How BOTrento Chief of Staff handles it

BOTrento Chief of Staff is a managed process for enquiries, quotes and other sales steps. For follow-ups, it tracks the status and next-step date of every sent quote, monitors replies in the mailbox and, at the right moment, prepares a draft reminder with context from the original enquiry and quote.

  • Human approval. Nothing is sent without approval. The salesperson checks, edits and sends the draft email themselves.
  • One record. The process works on top of your CRM or spreadsheet and doesn't create another list alongside it.
  • Your own API keys. The language model runs through the provider you choose with your own key, and you pay for AI directly to them with no markup. How to enter and remove keys is described in the help page on your own API keys.
  • Data. We store it on servers in Germany (EU); the text needed for the task is processed by the model provider you choose via API. It is therefore not a closed computation – for personal data, see the GDPR and AI checklist for enquiries, quotes and sales emails.

It starts with a 14-day free trial, with no payment card needed. The 14 days begin with your first successful data upload, and you have 7 days to prepare. A good first case is one type of business case – for example, follow-ups after equipment rental quotes. You can see how a single enquiry moves through to a reminder in the process demo; plans are set out in the pricing overview. For a sense of scale: in an internal pilot, the process handled 35 enquiries, 18 emails, 24 quotes and 15 actions in 7 days.

FAQ

How soon should I follow up after sending a quote?

Ideally on the date you gave the customer in the cover email. A short delivery confirmation suits the same or next working day, and a substantive follow-up a few working days later, depending on the event date.

How many times should I follow up before giving up?

A few steps with a clear purpose are enough: confirmation, substantive follow-up, deadline reminder and a closing email. If there is no reply even to the closing email, mark the quote as closed and note when to get in touch about the next opportunity.

Is it better to follow up by email or by phone?

A combination works better than repeating one channel. If email didn't work, call, and after the call summarise what was agreed in a short email.

What should I write in a follow-up so it isn't annoying?

One new, useful thing: an answer to a likely question, a cheaper option, an offer of a short call or a genuine deadline reason. Avoid sentences that merely ask whether the customer has seen the quote.

Can AI send follow-ups automatically?

AI can prepare a draft reminder and watch the deadlines, but a person should approve sending. In BOTrento, nothing is sent without human approval.

Summary

  • Agree the follow-up in the quote's cover email – then it feels like a promise kept, not an interruption.
  • Every reminder should bring something new: an option, an explanation, a call or a genuine deadline reason.
  • Keep a clear cadence: confirmation, substantive follow-up, deadline reminder, closing.
  • After the closing email, stop, and record the reason and a date for the next contact.
  • For every quote, track status, next step, date and owner – without them, follow-ups get lost.
