What is BOTrento
BOTrento Chief of Staff is an AI assistant for sales in small and mid-sized companies. It keeps track of enquiries and proposals in your mailbox, shows one main priority and three more every business-day morning, drafts emails in 4 languages (Czech, English, German, French) and reminds you what you promised to whom. It never sends anything on its own — you approve every email. Plans start at €79 per month excl. VAT, AI is included, and you can try it free for 14 days with no card.
Chief of Staff is the name of the product and of the morning overview: in many companies it is the person who keeps operations together for the boss. BOTrento is its digital version — an AI chief of staff for sales.

- The 14 days start only when your data is first loaded successfully (import or mailbox connection); you have 7 days to get ready. No card and no API key of your own — you add a card at the end, only if you decide to continue. We remind you every day during the last 3 days. Without payment, access is blocked after the trial until you pay; we keep your data for 30 days and you can download the export even while access is blocked.
- AI and limits
- 1 case = 1 sales case actively handled in a given month. AI is included with a monthly usage limit: we alert you at 80%, and at 100% new work pauses until next month. A higher limit or a bigger plan can be agreed individually. No automatic extra charges; older data stays available. You don't need an API key of your own; it is optional.
- How you pay
- At the end of the trial you add a payment card in the app and pay the monthly plan; access continues without a break. If you prefer to pay by invoice, order it on the same page and we email the invoice. Without payment, access is blocked until you pay. Questions: info@botrento.com.
- Mailbox and data
- Seznam and other mailboxes via IMAP; Gmail, Google Workspace and Microsoft 365 via forwarding or import for now (direct connection in preparation). Enquiries from a CRM or spreadsheet can be uploaded as CSV or XLSX.

- Data and privacy
- We store data on servers in the EU (Germany, with the app database in Ireland). The language model processes only the text needed for the task, via a commercial API provider — by default through our account, optionally through your own API key; commercial API providers do not use this data for training. A server in the EU calling an external AI API is not a closed computation. The text needed for a task is processed by the language-model provider.

What BOTrento does
- Keeps track of enquiries and proposals in your mailbox and in the data you upload.
- Every business-day morning it shows the Today 1+3 overview: one main priority and three more, each with a reason.
- Drafts replies, quotes and follow-ups in 4 languages (Czech, English, German, French).
- Catches promises like “I'll get back to you by Friday” and reminds you in time.
- Shows who is waiting for a reply and which proposal lacks a follow-up.
- At the start of the trial it prepares a “money left on the table” report: unanswered enquiries, forgotten promises and proposals without a follow-up (looking back through past email for IMAP mailboxes).
What it doesn't do (or can't do yet)
- It does not send emails or quotes on its own — a person always approves them.
- It does not confirm dates, availability or bookings — it drafts the reply and reminds you what to check.
- It does not replace your CRM or accounting — it works on top of the email and data you already have.
- It does not promise revenue, profit or a number of deals.
- Gmail, Google Workspace and Microsoft 365 connect via forwarding or import for now; a direct connection is in preparation. It does not read your calendar yet.
