The BOTrento service is provided by the operator of the BOTrento service (the “Operator”), contact email info@botrento.com. This page explains how the Service uses artificial intelligence, where data is stored and who is responsible for what.
1. Where the data is
We store Service data on servers in the EU: servers in Germany. The database of the app.botrento.com client application runs with Supabase in the EU region (Ireland).
2. Who processes text — the language model you choose
- By default (during the trial and in plans with AI included) we process text through our own API account with a commercial language-model provider (e.g. Anthropic, US); we pay for the usage.
- Optionally you can add your own API key (currently with Anthropic; more providers are in preparation). You then agree the contract and data processing terms directly with the provider when you open your API account.
- We send the model only the text needed for the specific task (e.g. the email thread it is drafting a reply to), not your whole mailbox.
- Commercial API providers do not use data sent through their API to train their models.
- Anthropic is based in the US, so data may be transferred outside the EU under the provider's terms and the safeguards of Chapter V GDPR. If you need EU-only processing, write to us and we will discuss the options.
3. Nothing is sent without your approval
Chief of Staff prepares drafts: the day's priority, email drafts, documents. You send an email, proposal or any other message yourself, after reviewing it. Output from AI experts is also handed over for approval.
4. Operations
24/7 monitoring, incident response within 4 hours on business days. We back up data. Only authorised staff can access client data, to the extent needed to run the Service.
5. Limits of artificial intelligence
- AI can make mistakes: get a fact wrong, misread context or suggest unsuitable wording.
- Always review outputs, especially numbers, dates, prices and legally or financially sensitive wording.
- AI outputs do not replace professional legal, tax or financial advice.
6. Responsibility
The client decides whether to send or use outputs and is responsible for them. Details are set out in the Terms and Conditions and the Privacy Policy.
