Car Workshop Enquiries: How to Reply to Quote Requests and Book Jobs Without Phone Tag

BOTrento Team8 min read

To handle car workshop enquiries without phone tag, sort each one by urgency first. Then reply by email with a price range, one or two clarifying questions and two specific drop-off slots for the customer to choose from.

Asking "when suits you?" leads to more back-and-forth. Giving choices lets the customer book in one message, and the estimate, the approval and any follow-up all stay in the same email thread. This guide is for independent garages and fleet servicing teams that get quote requests by email, web form and phone photos.

Why workshop enquiries turn into phone tag

A typical garage enquiry is short and leaves things out: "Grinding noise when braking, how much to fix?" Someone phones back to ask for the registration and mileage, the customer misses the call, then calls back while you're under a car. Two days later, nothing is booked.

It usually comes down to three things:

  • No triage. A warning light on a delivery van gets the same treatment as a tyre price check.
  • Open-ended replies. "Let us know when suits you" means the customer has to write again before anything is booked.
  • No owner for sent estimates. The customer goes quiet after a diagnosis, nobody follows up, and the car gets repaired somewhere else.

You don't need new equipment to fix this. You need a routine that your service advisers actually follow.

Triage every enquiry by urgency first

Before you reply, put the enquiry into one of four groups. The group tells you how quickly to respond and what to ask.

TypeTypical signsFirst reply should
Safety or breakdownBrakes, steering, red warning light, fleet vehicle off the roadGo out the same morning, say whether it's safe to drive, and offer the earliest slot or recovery
Diagnosis neededNoises, intermittent faults, amber lights, photos of a leakGive a fixed diagnostic fee and two slots, and say a full estimate follows the inspection
Known jobService, roadworthiness test, tyres, pads and discs, batteryGive a price or tight range, say what's included and offer two slots
Fleet or accountCompany domain, several vehicles, purchase order mentionedName a contact person, explain how work gets approved and propose a schedule

What to do with photos

A photo of a dashboard light or a puddle under the car helps with triage, but it doesn't replace an inspection. Use it to pick the group and ask better questions, such as "Is the light flashing or steady?" In your reply, make it clear that any price based on a photo is only a range.

A six-step routine from quote request to booked job

  1. Log it in one place. Use an inbox label, a spreadsheet tab or a deal in Pipedrive or HubSpot. Record the registration, vehicle, symptom, triage group and date.
  2. Give it one owner. One service adviser owns the enquiry until the car is booked or the customer says no.
  3. Reply with what you can say now. Send a price or range, what it depends on, and the diagnostic fee if there is one. Don't wait for a parts price before replying.
  4. Ask for the minimum. Ask for the registration, the mileage and whether the car can be driven in. Everything else can wait until drop-off.
  5. Offer two concrete slots. For example, "Tuesday morning drop-off or Thursday after lunch". Check your workshop planner first. Offering a slot you can't keep is worse than offering none.
  6. Agree the next step in writing. Confirm the chosen slot in the same thread, and set a follow-up date for anything still open.

Quote request for a known job

Hi Anna,

Thanks for getting in touch. A full service on your Octavia diesel is €[price] excl. VAT, including oil, filters and an inspection report. If we find anything else, we'll send photos and a price before doing any extra work.

We can take the car on Tuesday morning or Thursday after lunch, and it will be ready the same day. Reply with the slot that suits you and your registration, and I'll confirm.

Best regards,
Marco, Service Adviser

Diagnosis needed

Hi Tom,

Thanks for the photo. With a steady amber engine light, the car is usually fine to drive carefully for a short time. If the light starts flashing or you lose power, please stop and call us.

We'll run a diagnostic check first (€[fee] excl. VAT, deducted if you go ahead with the repair), and you'll get a written estimate before we do any work. Would tomorrow morning or Friday morning suit you better?

Best regards,
Marco

For more ideas on wording, read our guides on turning vague requests into proposals and on checking availability before promising a date. The same rules apply to workshop slots and courtesy cars.

Following up on unapproved estimates

The estimate you send after a diagnosis is the one most likely to be lost, often because the customer has taken the car away to "think about it". Follow up on a simple rhythm:

  • Same day: send the estimate split into "needed now for safety" and "can wait", so the customer can approve part of it.
  • Next working day: send a short check-in that answers the most likely question.
  • A few days later: send a final reminder with a clear end point, such as "the parts price is held until Friday".
Hi Tom,

Just checking you received yesterday's estimate. The front pads and discs are the safety item. The rear service can wait until your next visit. If you'd like us to do only the brakes, reply "brakes only" and we'll book it for Thursday.

Marco

For the wider habit, read how to stop forgetting quote follow-ups. Every open estimate should have a date for its next follow-up.

Fleet service enquiries need different rules

A fleet manager wants vehicles back on the road quickly and paperwork that gets through approval. When you reply to a fleet enquiry:

  • Confirm who approves work, and up to what amount they can approve without a call.
  • Send one estimate per vehicle, with the registration and purchase order reference in the subject line.
  • Propose a regular service window instead of booking each vehicle separately.
  • Agree what happens to defects you find: either report them and wait, or repair them below an agreed threshold.

Fleet estimates often sit unapproved because the approver is away. Keep a list of open fleet items and send one combined update each week.

How BOTrento handles this routine

BOTrento Chief of Staff runs this process as a managed routine. It keeps track of enquiries and estimates in your mailbox and in the data you upload. Every working morning it sends an overview called Today 1+3: the most important task plus three more. It drafts replies, estimate cover emails and follow-ups in English, German, French or Czech. It also notes promises like "I'll call you back by Friday" and reminds you about them.

Here's what it doesn't do:

  • Nothing is sent without a person approving it. Your service adviser reviews and edits every draft.
  • It doesn't book or confirm slots, and it doesn't read your calendar.
  • It doesn't read attachments or photos. It works from the email text, so ask customers to describe the symptom.
  • It doesn't replace your workshop system, CRM or accounting software.

Mailboxes connect via IMAP. Gmail, Google Workspace and Microsoft 365 currently connect by forwarding or import, and you can upload open estimates as CSV or XLSX. AI usage is included in every plan up to a monthly limit (see plans and pricing). You can see each step in the process walkthrough, or read more about what BOTrento is.

To test it on your own enquiries, start the 14-day free trial. You don't need a payment card or your own API key, and the 14 days only start once your data is first uploaded successfully.

FAQ

How do I reply to a car repair quote request when I haven't seen the car?

Give a price range or a fixed diagnostic fee, explain what the final price depends on and offer two drop-off slots. Make it clear that you'll send a written estimate before doing any work.

Should a garage give prices based on photos?

Use photos to judge how urgent the job is and what to ask, but quote only a range until you've inspected the car.

How often should I follow up on an unapproved repair estimate?

A practical rhythm is the same day, the next working day and one final reminder a few days later with a clear end point. Splitting the estimate into urgent and non-urgent work makes it easier for the customer to say yes.

Can BOTrento book jobs into my workshop planner?

No. BOTrento drafts replies and follow-ups for a person to approve, but it doesn't confirm bookings or read your calendar.

Is it GDPR-compliant to use AI on customer enquiry emails?

It can be, depending on the provider, where the data is stored and your agreements with them. Use a GDPR checklist for AI sales tools, and get legal advice for your specific situation.

  • Give every enquiry one owner, and give every open estimate a date for its next follow-up.
  • Split estimates into urgent and non-urgent work, and follow up on a set rhythm.
