Equipment rental: how to reply to enquiries quickly and track availability without double bookings
You can reply to an equipment rental enquiry quickly if you follow a fixed order of steps: first check the dates and the availability of the specific items, then add the price from your price list, the deposit and delivery, and finally place a provisional hold with a clear expiry. You avoid double bookings only when every reservation goes through one register with the statuses "enquired – held – confirmed – issued – returned", and nobody promises a date from memory.
At companies hiring out sound, lighting, stages or tents, enquiries pile up in season, and several customers often want the same weekend. Below you will find a process, a table of reservation statuses, an email template with a quote and a checklist you can start using straight away.
Where time is lost in equipment rental
Calculating the price is usually quick. The delays come from elsewhere:
- An incomplete brief. The customer writes "we need sound for a corporate event", but the number of guests, the venue, the address and the set-up time are missing.
- Checking availability. The salesperson asks the warehouse, who searches a spreadsheet or calendar, and meanwhile another enquiry arrives for the same date.
- Building the price by hand. Day rates, multi-day discounts, deposit, delivery, operators: everyone calculates it a little differently.
- An unclear reservation. The customer receives a quote, but nobody knows whether the equipment is being held for them, or until when.
If you want to know what this really costs you, start by measuring the time from receiving an enquiry to sending the quote. We describe how in the article on measuring enquiry response time.
The process: from enquiry to confirmed reservation in 7 steps
1. Complete the brief with one email
Don't write to the customer three times. Send one message asking for everything that is missing: event date and time, pick-up and return dates, address, indoor or outdoor venue, number of people, vehicle access, and whether they want an operator and installation.
2. Check the availability of specific items
Don't just check that you "have speakers". Check the exact set for the whole period, including the preparation day and the return day. Allow time for inspection and cleaning after the previous rental.
3. Place a provisional hold
Immediately after checking, record the status "provisionally held" in the register, with the customer's name and the date the hold expires. This stops a colleague promising the same items to someone else.
4. Price from the price list, not from memory
Use a single price list: day rate, weekend and multi-day rules, surcharges for operators. Let one named person approve any deviation. For more on speeding up quotes while keeping prices under control, see the article on handling sales enquiries in a small business.
5. State the deposit and terms
Give the amount of the deposit or the rule for calculating it, when and how it is paid, when it is returned, and what happens in case of damage or late return. An unclear deposit is a common cause of follow-up questions and delays.
6. Add delivery, installation and dismantling
Distinguish between collection and delivery. For delivery, explain how you calculate transport, the delivery window and who is responsible for the equipment on site.
7. Send the quote with an expiry and confirm the reservation
The quote must say how long the equipment is held and what the customer needs to do to confirm (a reply, a down payment, signed terms). Once confirmed, change the status in the register to "confirmed" and send the customer a short summary: what, when, where, how much and a contact for the event day.
How to track availability: reservation statuses in one register
A double booking almost always happens because one person promises a date and doesn't record it. A simple rule helps: dates are confirmed to customers only from the register, and every change is recorded in it immediately. It matters less whether you use a CRM, a booking system or a shared spreadsheet than that there is only one.
| Status | What it means | Who changes it |
|---|---|---|
| Enquired | An enquiry has arrived, availability not yet checked | Whoever received the enquiry |
| Provisionally held | Items are held for the customer until the stated date | Salesperson, after checking availability |
| Confirmed | Customer has confirmed, and where relevant paid a down payment or deposit | Salesperson |
| Issued | Equipment has left the warehouse, handover protocol signed | Warehouse |
| Returned | Equipment is back and inspected, deposit settled | Warehouse |
Every provisional hold needs an expiry date. Once a day, go through the holds that are about to expire and either remind the customer or release the equipment. If the same situation arises for whole events and not just equipment, see the process for event agency enquiries in peak season.
Email template with a quote and a pre-send checklist
Adapt the template to your price list and terms. What matters is that the customer sees the date, price, deposit, delivery and next step in one email.

Pre-send checklist
- Availability is checked in the register for the whole period, including preparation and return.
- The register shows the status "provisionally held" with an expiry date.
- The price matches the price list, and any discount is approved.
- Deposit, payment method and return are stated.
- Delivery, installation and operators are either priced or explicitly excluded.
- The customer knows what to do and by when.
- A contact for the event day is named.
Follow-up: remind the customer or release the equipment
In rental, follow-up has two purposes: to find out whether the customer wants the reservation, and to avoid blocking equipment unnecessarily. A recommended rhythm:
- Before the hold expires, send a short reminder: "We are holding the equipment for you until noon tomorrow. Shall we reserve it for you?"
- When another enquiry arrives for the same date, let the first customer know and offer a quick confirmation.
- After expiry, release the equipment, change the status in the register and tell the customer you will re-check availability if they are still interested.
Every enquiry then has an owner and a dated next step. If you chase quotes after sending them, the guide to quote follow-up offers a cadence and templates.
How BOTrento Chief of Staff handles it
BOTrento Chief of Staff is a managed process for enquiries, quotes and other sales steps. For equipment rental, in practice this means the process reads enquiries from your mailbox, extracts the date, venue and requested equipment, compares them with your register and prepares a draft reply or quote based on your price list, including deposit, delivery and the validity of the hold. It also watches for expiring provisional reservations and suggests a reminder.
Nothing is sent without human approval. A draft email or quote is always checked and sent by your salesperson. You can see what one pass from enquiry to draft looks like in the process demo.
It is introduced through one measured pilot with a fixed scope: one mailbox, one register (CRM or spreadsheet) and one type of business case, for example an equipment rental enquiry. Process KPIs are agreed at the start, such as time to send a quote. For orientation: in an internal pilot, the process handled 35 enquiries, 18 emails, 24 quotes and 15 actions in 7 days.
You can pay for AI directly at the provider through your own API keys (Anthropic Claude, OpenAI, Google Gemini and others), with no markup. We store data on servers in Germany (EU); the text needed for the task is processed by the model provider you choose, via its API. The plans and pilot scope are on the pricing page.
FAQ
What must a quote for equipment rental include?
A list of equipment and quantities, the rental period including pick-up and return, the price, the deposit and its return terms, delivery and installation, and a clear step to confirm, with the date until which you hold the equipment.
How long should you hold a provisional equipment reservation?
There is no fixed rule; it depends on the season and demand for that date. What matters is stating a specific expiry date and time in the quote and the register, and actually releasing the equipment once it expires.
How do you prevent double-booking the same equipment?
Confirm dates only from one register, and record every provisional hold immediately with the customer's name and expiry date. Use clear reservation statuses and decide who changes each one.
When should you ask for a deposit and how should you state it in a quote?
State the deposit directly in the quote, along with when and how it is paid, when it is returned and what happens in case of damage or late return. Have the specific terms checked against your general terms and conditions, or by a lawyer.
Can AI reply to rental enquiries on its own?
Not with BOTrento. The process prepares a draft reply or quote from your register and price list, but a person always approves it before anything is sent.
