Estate Agency Enquiries: How to Reply, Qualify and Book a Viewing Before the Lead Goes Cold
To stop buyer enquiries going cold, an estate agency needs three things for every enquiry: one named agent who owns it, a factual reply on the same working day, and an agreed next step with a date. When any of the three is missing, the prospect usually isn't lost because of the price. They're lost because another agency or another listing got to them first.
This article covers the process from the first message to the viewing, questions for qualifying a prospect, email templates and a short daily check. It's written for smaller agencies where enquiries arrive from portals, the website, the phone and agents' personal inboxes, and nobody has the full picture.
Why property enquiries go cold
Property enquiries follow their own pattern. A prospect often writes to several listings at once, usually in the evening or at the weekend, and the message is short: "Is the flat still available? When could I view it?" The agent who replies first, and clearly, keeps their attention.
The most common reasons an enquiry gets lost:
- No clear owner. The enquiry lands in a shared inbox and everyone assumes a colleague will deal with it.
- Scattered channels. Some enquiries come through a portal, some go to an agent's personal email, and some come by phone and nobody writes them down.
- A reply without a next step. "Yes, it's available, get in touch" leaves the next move to the prospect.
- No follow-up after the viewing. The viewing happens, but nobody asks within a few days which way the prospect is leaning.
- A prospect with no suitable property. The flat is sold, the contact isn't recorded, and nobody thinks of them when a similar listing comes in.
The same principle applies in other busy, enquiry-driven sectors. See how event and production companies handle it in event agency enquiries in peak season. Below, we apply it to estate agency work.
Six steps: from enquiry to an agreed next step
1. Bring all enquiries into one place
All enquiries from portals, the web form and agents' personal inboxes should end up in one place the office manager can see. Log a phone enquiry the same way as an email: name, contact details, property and what the prospect wanted.
2. Assign an owner as soon as it arrives
The rule can be simple: the agent who holds the listing handles its enquiries. If they're unavailable, a deputy is named in advance. If an enquiry isn't about a specific property, the manager assigns it by area or property type.
3. Reply with facts and offer dates
The first reply should confirm the property is available, answer the question asked and offer two or three viewing slots straight away. The prospect then only has to pick one rather than suggest a time themselves.
4. Qualify lightly
Two or three questions in the first reply or on the phone are enough. The aim isn't to interrogate the prospect. It's to find out whether the property suits them and whether they can realistically go ahead. There's more on this in the next section.
5. Confirm the viewing and send a reminder
Once a time is agreed, send a confirmation with the address, time, the agent's contact details, and what to bring or which documents they can read beforehand. Send a short reminder the day before.
6. Always agree a next step after the viewing
Within one to two working days, get back to the prospect with any extra information and a clear question. The options are a second viewing, a reservation, a meeting with a mortgage adviser, or adding them to the list for similar properties. Every case should have a next step recorded with a date.
To find out how fast your agency really replies, write down when each enquiry arrived and when the first proper reply went out for a week or two. Then review the gaps with the team.
Qualifying a prospect: five questions that don't feel pushy
Qualifying prospects saves time for both the agent and the prospect. You don't need to ask everything at once. Some questions belong in the first email, others in a call or at the viewing.
- What is the property for? A home, an investment or a rental. This tells you what to highlight at the viewing.
- How will you pay for it? Own funds, a mortgage already in progress, or just starting to look. Ask tactfully and offer an adviser's contact if it helps.
- Are you selling a property at the same time? This changes the timeline and could also bring you a new instruction.
- Who else is involved in the decision? If a partner or family members are involved, suggest a time when everyone can come.
- What are your deal-breakers? Location, layout, parking or floor. The answer helps you suggest an alternative if this property doesn't work out.
Record the answers on the prospect's record, not just in the agent's head. When a similar property comes up later, a colleague will know whom to call. Keep prospects' personal data only to the extent and for as long as you need it under GDPR, and get legal advice on your own setup. Email templates: first reply and post-viewing follow-up
First reply to a property enquiry
Dear [name],
Thank you for your interest in the [layout] flat on [street]. It is still available. To answer your question: [specific answer, e.g. monthly running costs, parking, date it becomes available].
I can offer you a viewing at one of these times:
– [day, date, time]
– [day, date, time]
– [day, date, time]
So that I can prepare everything you need, could you let me know whether you are looking for a home or an investment, and how you plan to finance the purchase?
Kind regards
[agent name], [phone]
Follow-up after a viewing
Dear [name],
Thank you for coming to yesterday's viewing. As promised, I have attached [e.g. the service charge breakdown, the energy performance certificate, the building's maintenance plan].
What did you think of the flat? If you are interested, we can arrange a second viewing with your partner or go through the reservation terms. If it is not right for you, just let me know what was missing and I will send you similar listings.
I will call you on Thursday unless I hear from you before then.
Kind regards
[agent name]
The last sentence of the follow-up matters. The agent decides when to get back in touch and records that date. Other sectors rely on the same quick reply with checked details. See equipment rental enquiries and availability.
Daily check: enquiry statuses and checklist
A simple overview is enough. The office manager or each agent goes through it in the morning. Every enquiry has exactly one status and one next step.
| Status | What it means | Next step |
|---|---|---|
| New | Enquiry received, nobody has replied | Assign an agent, reply the same day |
| Replied | Reply with viewing slots sent | Follow up if the prospect doesn't respond |
| Viewing booked | Time confirmed | Reminder the day before |
| After viewing | Viewing took place | Follow-up with information and a question |
| Negotiation | Reservation, financing, second viewing | Specific task with a date |
| Closed / in database | Bought, or the property wasn't right | Record preferences for future listings |
Morning checklist
- Does every new enquiry have an assigned agent?
- Is any enquiry from yesterday still unanswered?
- Has a follow-up gone out after every viewing that took place?
- Does every open case have a next step with a date?
- Did any enquiries come in for properties that are already sold? If so, was an alternative offered?

How BOTrento Chief of Staff handles it
BOTrento Chief of Staff is a managed process for enquiries, quotes and other sales steps. It connects to your mailbox or works with imported data. It gathers enquiries from different sources in one place, tracks the owner and next step for each case, and prepares draft replies and follow-ups.
- Human approval. Nothing is sent without approval. The agent checks the draft email, edits it and only then sends it.
- AI included in the plan, with a monthly usage limit. You get a warning as you approach the limit. Once you reach it, new work stops until the next month or until you agree to raise the limit. You're never charged extra automatically.
- Your own API key is optional. If you'd rather pay for usage directly to the model provider, you can enter your own key. The steps are on the API keys help page.
- Data is stored on servers in the EU (Germany, with the application database in Ireland). Only the text needed for a task goes to a language model, through a commercial provider's API. By default this runs through our account, or optionally your own key. Commercial API providers do not use the data for training.
The process demo shows how an enquiry moves from arrival to its next step. The free trial lasts 14 days, with no payment card and no API key of your own needed. It starts only when your data is first uploaded successfully. Within 24 hours on working days, one of our team will contact you and help connect your mailbox. Plans are listed on the pricing page. We don't promise a number of deals, so we recommend trying the process on your own enquiries first.
FAQ
How quickly should an estate agency reply to a property enquiry?
In practice, the same working day, with specific viewing slots offered. A reply that answers the prospect's question and suggests a next step matters more than an instant one-line reply.
What should I write when the property is already sold or reserved?
Say so openly and suggest an alternative straight away, or ask about their requirements so you can send similar listings. Save their preferences with their contact details.
When should I get in touch after a viewing?
Usually within one to two working days, with the information you promised and a clear question about the next step. Say in the email when you will get in touch again.
How can I qualify a prospect without it feeling intrusive?
Ask a few questions at a time and explain why, for example that you will prepare the right documents depending on what the property is for. Two or three questions at first contact are enough, and the rest can wait for the viewing.
Does BOTrento send emails to prospects automatically?
No. BOTrento prepares a draft reply or follow-up, and only a person can send it after approving it.
