How to Get More Manufacturing RFQs: Website Forms, Directories and Content

BOTrento Team7 min read

To get more manufacturing RFQs, make it easy for the right buyers to find you, understand what you make and send a complete request in one go. That comes down to four things: a clear RFQ page, a handful of well-chosen directory listings, content that answers buyers' real questions, and fast replies so the enquiries you already get are not wasted.

This guide is for owners and sales leads at machine shops and custom makers with small teams. There are no growth hacks here, just a routine you can start this week.

Start with what buyers actually search for

Buyers rarely search for your company name. They search for a process, a material and a part type, often with a location or a certification attached. Before you change anything, write down what you really want to make more of.

  • Processes: CNC milling, turning, sheet-metal bending, welding, injection moulding, whatever you are good at.
  • Materials and sizes: stainless, aluminium, plastics, small batch or one-off prototypes.
  • Buyer type: engineers sourcing a prototype, purchasers re-ordering a part, or OEMs looking for a second supplier.

Be honest about the work that earns its keep. Ten enquiries for jobs you cannot price profitably cost more time than three good ones.

Turn your website into an RFQ page

Most shop websites describe the company and bury the contact form. Buyers want to know within seconds whether you can make their part and how to ask.

Make the request easy to find

  • Put a clear "Request a quote" button in the header and on every capability page.
  • Give each main process its own page, with materials, typical tolerances you can hold, batch sizes and the files you accept.
  • State what you do not do. It saves both sides time and builds trust.

Ask for the right fields

A form that is too short produces vague enquiries. One that is too long gets abandoned. Ask for the drawing or file, quantity, material, tolerances, finish and deadline, plus a name and email. Our guide to manufacturing shop RFQ form fields has a full list and a copy-paste template.

Confirm and set expectations

After submission, show a short message and send an email saying when the buyer will hear from you and what you may ask next. A buyer who knows the next step is less likely to send the same request to five other shops.

Choose directories and sourcing platforms carefully

B2B directories can bring in buyers who are already looking to place work. They also bring price-shoppers. Treat them as a test, not a strategy.

  1. List 3 to 5 places where buyers in your industry and region actually look: industry association directories, regional supplier databases, and sector-specific sourcing platforms.
  2. Complete the profile fully: processes, materials, certifications, equipment list, photos of real parts and a direct link to your RFQ page.
  3. Track the source of every enquiry. Add a "How did you find us?" field or use a different link per listing.
  4. Review after a quarter. Keep the listings that bring quotable work, drop the rest.

Keep your details identical everywhere. Inconsistent names and addresses confuse buyers and search engines.

Publish content that answers buyer questions

Content works for job shops when it is specific. You do not need a big blog. A few useful pages can bring in the exact enquiries you want.

  • Case notes: a part, the problem, the process you chose and the result. Anonymise the customer if needed.
  • Design-for-manufacture tips: what makes a part cheaper or faster to make in your shop.
  • Material and tolerance guidance: short explainers on choices you are asked about weekly.
  • Lead-time and file requirements: what you need to quote and how long it takes.

Your sales inbox is the best source of topics. Every question you answer three times by email deserves a page. End each page with a link to the RFQ form.

Weekly routine to build RFQ flow

Here is a checklist you can run in about an hour a week.

  1. Review last week's enquiries and note the source of each.
  2. Mark which ones were quotable and which were a poor fit. Adjust the form or page wording if poor-fit requests keep coming.
  3. Update one capability page or publish one short piece of content.
  4. Check that directory profiles and your Google Business details are current.
  5. Ask one recent customer for a short testimonial or a photo of the finished part you can use with permission.

Keep this in a simple sheet or in your CRM, such as HubSpot or Pipedrive. What matters is that the source and outcome are recorded for every enquiry.

Do not lose the RFQs you already get

More enquiries help only if you can answer them quickly and follow up. Incomplete requests need clarifying questions, and unanswered quotes need a reminder. Our guide to RFQ response for small manufacturers covers a six-step routine and a clarification email. For the basics of speed, see how to reply to sales enquiries faster, and for reminders after a quote, how to stop forgetting quote follow-ups.

A short template for the first reply when a drawing is missing:

Hello [Name],
Thank you for your request for [part/process]. To prepare an accurate quote we need: the drawing or 3D file, quantity (and any repeat volumes), material and finish, critical tolerances, and your required delivery date.
Once we have these, we will send the quote by [day]. If any detail is not yet fixed, tell us and we will quote with stated assumptions.
Kind regards,
[Your name]

How BOTrento helps once the RFQs arrive

BOTrento Chief of Staff is a managed process for enquiries and quotes. It watches enquiries in your mailbox and in the data you upload, and every working day morning it shows a Today 1+3 overview in the app and by email. It prepares draft replies, quotes and follow-ups in four languages, and it captures promises such as "I will get back to you by Friday" and reminds you of them.

Nothing is sent without a person's approval. BOTrento does not send anything itself, it does not replace your CRM or accounting, and it does not read attachments, so drawings still need your eyes; it works from the email text. AI is included in the plan with a monthly usage limit.

You can try it for 14 days free on your own data, with no card and no API key of your own. The 14 days start with your first successful data upload. See a walkthrough of the process, read about B2B services, learn what BOTrento is, or start the 14-day trial.

FAQ

How can a machine shop get more quote requests?

Make your website show clearly what you make, add a visible request-a-quote path with the fields you need, list in a few relevant directories, and publish short pages answering common buyer questions.

What should an RFQ form for a manufacturer include?

At minimum: file or drawing upload, quantity, material, tolerances, finish, deadline and contact details. Add a short note on what happens after submission.

Are B2B directories worth it for small manufacturers?

They can be, but test a few. Track where each enquiry comes from and keep only the listings that bring quotable work.

How quickly should I reply to an RFQ?

As soon as you can, even if only to confirm receipt and list what you still need. A quick, specific first reply keeps the buyer from moving on to another supplier.

Summary

  • Decide which work you want more of, then build pages and listings around it.
  • Turn your website into an RFQ page with a visible button and the right form fields.
  • Use 3 to 5 directories, track the source of every enquiry and review quarterly.
  • Write content from the questions your inbox already gets.
  • Reply fast and follow up, or extra RFQs will simply go cold.
