ChatGPT BYOK: Can You Use Your Own OpenAI Key in a Business Tool?

BOTrento Team7 min read

Sometimes, but only if the tool explicitly supports OpenAI as a provider. A ChatGPT subscription cannot be plugged into a business tool; what "ChatGPT BYOK" really means is bringing your own OpenAI API key, which is a separate account with separate billing.

Before you paste any key into a CRM add-on or sales assistant, you need to know which providers it accepts, who pays for what, and where your text goes. This article gives you the distinction, a vendor checklist and a short email you can send before you commit.

ChatGPT subscription vs OpenAI API key

People search for "ChatGPT BYOK" because they already pay for ChatGPT and assume that login can power other software. It usually cannot. The two are different products:

  • A ChatGPT subscription is a chat application for a person. You log in, type, and read the answer on screen.
  • An API key is a credential for software. A tool sends text to the model provider using your key, and the provider bills the account that owns it, based on usage.

So if a vendor says "bring your own key", they mean an API account with the model provider, not your chat login. You create the key in the provider's developer console, and you can usually set billing and usage controls there. Check the provider's own pages for current terms, because they change.

How BYOK works in a business tool

BYOK (bring your own key) means the tool calls the language model with your credential instead of its own. In practice that changes three things:

  • Billing. Model usage is charged to you by the provider. The tool vendor charges separately for the software.
  • Visibility. You know which provider processes the text your tool sends, because you chose it.
  • Control. You can set limits at the provider and revoke the key at any moment.

BYOK is not free of cost and not automatically cheaper. Your spend depends on how many sales cases the tool drafts for and how long the emails and threads are. For the maths, see our guide to what your own API key costs and when it pays off, and for the wider picture own AI API keys in business.

What to verify with the vendor before you paste a key

Run through these seven questions. Any vendor who has thought about BYOK can answer them in writing.

  1. Which providers are supported today? Not "planned" or "coming soon". If OpenAI is not on the list, the key will not work.
  2. Is BYOK optional? You should be able to start without a key and add one later.
  3. How is the key stored? Look for encryption, masked display after saving, and the ability to remove it at any time.
  4. What text is sent to the model? Only what the task needs, or whole mailboxes?
  5. Where is your data stored, and what leaves that server? Hosting in the EU does not mean model calls stay in the EU if an external API is involved.
  6. Is your text used for training? Ask what the provider's API terms say, and get the vendor's answer in writing.
  7. What happens when your spend limit is hit? Does the tool stop, degrade, or keep going and bill you?

If personal data is in the emails, which in sales it nearly always is, go through our GDPR checklist for AI sales tools as well, and talk to a lawyer about your specific setup.

Spending limits and key safety

A key is a payment credential. Treat it like a company card.

Set limits at the provider

  • Create a dedicated key for each tool, so you can revoke one without breaking others.
  • Set a monthly budget or usage cap in the provider console, and an alert before you reach it.
  • Never reuse the key your developer uses for experiments.

Handle the key properly

  • Do not send keys by email or chat. Paste them straight into the tool's settings.
  • Check that the tool shows only a masked version afterwards.
  • Rotate the key when someone with access leaves.
  • Write down who owns the provider account and who receives its invoices.

To estimate the monthly figure before you start, use the method in how to estimate AI costs in advance and keep them under control: start from the number of sales cases, not from the number of tokens.

Subject: Questions about bring-your-own-key support

Hello,

We are considering your tool for handling sales enquiries and quotes. Before we go further, could you confirm in writing:

1. Which model providers can we connect with our own API key today (not planned)?
2. Is the key optional, and can we remove it at any time?
3. How is the key stored and displayed after saving?
4. What text is sent to the model for each task?
5. Where is our data stored, and which parts are sent to an external API?
6. Is our text used to train models?
7. What happens when the monthly usage limit is reached?

Thank you,
[Name, company]

How BOTrento handles your own key

To be direct: BOTrento supports a bring-your-own key only for Anthropic (Claude) today. An OpenAI key does not work yet. We are preparing other providers, but we do not promise them until they exist.

The key is optional. BOTrento Chief of Staff is a managed process for enquiries, quotes and follow-ups, and AI is included in the plan with a monthly usage limit. You get a warning at 80% and new work pauses at 100% until the next month. There is no automatic extra charge. If you do add your own Anthropic key, you pay that provider directly with no mark-up from us. Keys are encrypted, only the last four characters are visible, and you can remove the key whenever you like. Details are on the API keys help page.

Whatever the model, nothing is sent without a person approving it. BOTrento drafts replies, quotes and follow-ups, and you review them. Data is stored on servers in Germany (EU). The text needed for a task is processed by the model provider through its API, so an EU server with an external AI call is not a closed computation, and we do not claim otherwise. The pricing page shows the plans, and plan prices exclude VAT.

Try it on your own data first

The cheapest way to test any AI sales tool is on your real enquiries. The BOTrento trial runs for 14 days, needs no card and does not need your own API key. The 14 days begin at your first successful data upload, whether an import or a connected mailbox, and you have 7 days to prepare. After the trial you keep read-only access and export for 30 days. We make no promises about revenue or number of deals, which is exactly why we want you to see the output first.

If you run an agency or a services firm, our page for B2B services shows how the process fits quote-heavy work.

FAQ

Can I use my ChatGPT Plus or Team login in other tools?

No. A ChatGPT subscription is a chat application, while tools that offer BYOK need an API key from a separate developer account with the model provider, billed by usage.

Does BOTrento work with an OpenAI API key?

Not today. Bring-your-own key in BOTrento is optional and supports only Anthropic (Claude). Other providers are in preparation, and the trial does not need any key.

Is using my own API key cheaper than a flat fee?

Not automatically. It depends on how many cases the tool drafts for and how long your threads are. Estimate the volume first, then compare it with a flat fee that includes AI.

How do I keep API spend under control?

Create a dedicated key per tool, set a monthly budget and alert in the provider console, and check what the tool does when the limit is reached.

Is BYOK GDPR-safe?

BYOK shows you who processes the text, but it does not make a setup compliant on its own. Check storage, processing terms and data minimisation, and ask a lawyer about your specific case.

Summary

  • A ChatGPT subscription is not an API key; BYOK needs a separate API account billed by usage.
  • Ask every vendor which providers they support today, how keys are stored, what text is sent and what happens at your spend limit.
  • Use one dedicated key per tool, set a provider budget and never share keys by email.
  • BOTrento supports an optional own key for Anthropic (Claude) only; OpenAI keys do not work yet, and AI is included in the plan.
  • Test on your own data: 14 days free, no card, no API key needed.
