AI costs and your own keys

What Is BYOK? Bring Your Own Key Explained for Business Owners

BOTrento Team7 min read

BYOK stands for "bring your own key". It means that instead of using the AI access that comes with a software tool, you connect your own account with an AI provider through an API key, and you pay that provider directly for what the model processes.

The idea is simple, but the consequences for billing, control and admin are easy to miss. This article explains BYOK without jargon, shows what actually changes, and tells you when it is not worth bothering with.

BYOK in plain English

An API key is a long secret string of characters. It works like a password that lets one piece of software talk to another, in this case a business tool talking to an AI language model.

BYOK means you create that key in your own account with the AI provider and give it to the tool. The tool then uses your key whenever it needs the model to draft or analyse text.

A simple analogy

Think of a company car versus a fuel card. With a flat-fee tool, the fuel is included in the package: you do not see it, and the vendor decides how much you get. With BYOK, you hold your own fuel card. The vendor still provides the car (the software and process), but you pay the petrol station directly and can see every litre.

What BYOK is not

A chat subscription for a consumer AI app and an API key are different products. Having one does not give you the other. If you want the details, see our article on using your own OpenAI key in a business tool.

What changes when you use your own key

Three things change: who bills you, who you can see processing your text, and who is responsible for the key.

  • Billing. Usage is charged by the AI provider to you, with no mark-up from the tool vendor on that usage. The tool's own fee for the software and process remains separate.
  • Visibility. You know which provider handles the text needed for each task, because you chose it. That helps when you answer GDPR questions from customers or your own data protection contact.
  • Responsibility. You manage the key: who created it, where spending limits are set, and when it is removed.

BYOK does not make processing a closed system. If a tool running on EU servers calls an external AI API, the text needed for the task still goes to that provider. That is normal, but it should be stated clearly. For a wider checklist, see our answer on whether an AI sales tool is GDPR-compliant. For specific legal cases, speak to a lawyer.

When BYOK is worth it

BYOK tends to make sense when at least one of these applies:

  • Your company already has a contract and an account with an AI provider, and policy says that provider should handle your texts.
  • You want to see model usage as a separate line, rather than bundled into a tool fee.
  • Your volume is high or unusual, so a flat limit would not fit.
  • You want to be able to switch the key off yourself at any moment.

To estimate what it would cost, start from the number of sales cases you handle, not from technical units. Our guides on what your own API key costs and when it pays off and on estimating and controlling AI costs walk through the method.

When BYOK is not worth it

For many small teams, BYOK adds a job without adding value. Skip it if:

  • You have no existing AI provider account and nobody to own it. Someone must create the key, set limits and watch spend.
  • You want one predictable monthly cost. Pay-per-use billing varies with volume, so it is harder to budget.
  • You only want to test whether the process works. Setting up a key first is an unnecessary hurdle.
  • Your provider is not supported. A tool can only accept keys from providers it has built in.

In those cases, a tool with AI included and a clear monthly usage limit is simpler. Neither option is better in general; it depends on how you want to pay and who you want to hold the account.

Checklist: questions to ask before you give a tool your key

  1. Which providers does the tool support today, and which are only planned?
  2. Is the key stored encrypted, and can you see only part of it after saving?
  3. Can you remove the key at any time yourself?
  4. Is BYOK optional, or required to use the product?
  5. Do you pay the provider directly, and is there any mark-up on usage?
  6. Which text is sent to the model for each task?
  7. Can you set a spending limit in your provider account?
  8. Who in your company owns the key and the account?

How BYOK works in BOTrento

BOTrento Chief of Staff is a managed process for enquiries, quotes and follow-ups. It watches your mailbox and uploaded data, shows a "Today 1+3" overview each working morning, and prepares draft replies, quotes and follow-ups. Nothing is sent without a person approving it.

AI is included in the plan with a monthly usage limit. You get a warning at 80%, and at 100% new work pauses until the next month. There is no automatic extra charge. A higher limit or bigger plan is agreed individually.

BYOK is optional. Today it works only with Anthropic (Claude); other providers are being prepared. If you use your own key, you pay the provider directly with no mark-up from us. Keys are encrypted, only the last 4 characters are visible, and you can remove the key at any time. Setup is described in the help page on API keys.

The 14-day trial needs no card and no API key of your own. It starts with your first successful data upload (import or mailbox connection), and you have 7 days to prepare. So you can test the process first and decide on BYOK later, if at all. Pricing is on the pricing page.

FAQ

What does BYOK mean?

BYOK means "bring your own key". You connect your own API key from an AI provider to a tool, so the tool uses your account and you pay the provider directly for usage.

Is BYOK the same as a ChatGPT subscription?

No. A chat subscription and an API key are separate products with separate billing. A business tool needs an API key, not a chat login.

Does BYOK make my data stay inside the EU?

Not by itself. If a tool calls an external AI API, the text needed for the task is processed by that provider. BYOK lets you choose the provider, but it does not make processing a closed system.

Do I need BYOK to try BOTrento?

No. The 14-day trial runs without a card and without your own API key. BYOK is optional and currently supports Anthropic (Claude) only.

Is BYOK cheaper than AI included in the plan?

It depends on your volume and how you want to pay. Estimate usage per sales case first, then compare it with a plan that has AI included and a monthly limit.

Summary

  • BYOK means you give a tool your own AI provider API key and pay the provider directly for usage.
  • It changes billing, visibility of who processes your text, and who manages the key.
  • It suits firms with an existing provider account or unusual volumes; it is not worth it if you want one predictable cost or have nobody to own the key.
  • Check supported providers, key storage, removal and spending limits before connecting.
  • In BOTrento, BYOK is optional and the trial needs no key.
