When to Charge for Quote Preparation and Scoping (and When to Keep It Free)

BOTrento Team7 min read

You should charge for quote preparation when the work needed to produce a reliable quote is substantial, needs your experts or a site visit, and the buyer has not yet shown real commitment. Keep it free when the quote is mostly assembly from your price list and the effort is small.

The mistake is treating every enquiry the same way. A routine request and a complex project with surveys, sketches and three rounds of clarification cost you very different amounts of time. This article gives you a simple test, a fee structure, a template for raising the subject and a way to make the free quotes cheaper to produce.

What quote preparation really costs you

Free quoting is not free. It uses paid hours, and those hours come out of the margin of the jobs you do win. The cost sits in four places:

  • Clarification: emails and calls to find out what the customer actually needs.
  • Investigation: site visits, surveys, availability checks, supplier prices, technical drawings or sketches.
  • Drafting: building the quote, scope, exclusions and assumptions.
  • Follow-up: chasing, revising and answering questions after sending.

For a simple job this adds up to a short stretch of time. For an event, an installation or a multi-week service project, it can add up to days of senior time. If you want to put your own numbers on it, the model in cost of manual sales admin helps you do that with your own wages and volumes.

A four-question test: free or paid?

Run each enquiry through these questions. If you answer yes to two or more, offer paid scoping.

  1. Does it need more than a desk review? A site visit, a survey, a technical drawing or a creative concept all count.
  2. Is the effort large compared with the likely margin? If the preparation could eat a visible share of the profit even if you win, it needs recovering.
  3. Is the buyer's intent unproven? Vague budget, no decision date, or a request that looks like price gathering for a comparison.
  4. Will your work be usable by someone else? A detailed design or specification can be handed to a cheaper supplier.

If you answer no to most, quote for free and spend your effort on speed and follow-up instead. Our answer page on replying to sales enquiries faster covers that side.

Ways to charge without losing the customer

Charging does not have to mean a flat refusal to quote. These structures work for B2B teams:

Fee credited against the order

You charge for scoping, and the fee is deducted from the project price if the customer goes ahead. This signals confidence and filters out casual requests.

Fixed-price discovery or survey

A defined deliverable for a fixed fee: a site survey report, a technical concept, a requirements document. The customer owns it and can take it elsewhere, so price it accordingly.

Free first stage, paid second stage

Offer a free ballpark range based on the information you have, then charge for the detailed, firm quote. This suits event and production work where the first conversation is cheap and the detailed planning is not.

Travel and survey costs only

For equipment rental or on-site services, recovering just the travel and surveyor time is often enough to remove time-wasters without feeling heavy.

Whichever you pick, write down the rule so everyone applies it the same way. Our guide to enquiry handling for event and production firms shows where these decision points usually fall.

Template: how to raise a scoping fee

Raise it early, plainly and with a reason. Here is a version you can adapt:

Subject: Next step on your project – scoping stage

Hello [Name],

Thank you for the details on [project]. To give you a firm quote, we need to [visit the site / survey the venue / prepare a technical concept], which takes around [X hours/days] of specialist time.

We do this as a fixed-fee scoping stage at €[amount] excl. VAT. If you go ahead with the project, the fee is credited in full against the order. You receive [report / concept / written specification] either way.

In the meantime, I can send an indicative range based on what we know today, so you can check it against your budget. Would that be useful?

Best regards,
[Your name]

The indicative range matters. It lets a serious buyer say yes quickly and lets a price-shopper drop out without friction.

Make free quotes cheaper to produce

Often the fix is not a fee but less wasted effort on the quotes you do give away. Three habits help:

  • Collect the essentials first. Agree a short list of questions you need answered before anyone starts pricing. See also the idea of qualifying with a few fixed questions.
  • Reuse scope wording. Standard exclusions and assumptions save drafting time and prevent disputes.
  • Never lose the follow-up. A quote that took hours to prepare and is then forgotten is the most expensive kind. Read how to stop forgetting quote follow-ups.

Slow answers also cost you enquiries that go to a faster competitor, which you can estimate with the slow-response calculator.

How BOTrento fits into this

BOTrento Chief of Staff is a managed process for enquiries, quotes and follow-ups. It watches enquiries in your mailbox and uploaded data, and every working morning shows a Today 1+3 overview. It prepares draft replies, quotes and follow-ups in four languages, including a draft that proposes a scoping stage or asks the clarifying questions you need.

It also catches promises such as “I will come back to you by Friday” and reminds you, so prepared quotes do not go cold. Nothing is sent without a person approving it, and BOTrento does not send anything by itself. It does not read attachments, only the text of the email, and it does not replace your CRM, whether that is HubSpot or Pipedrive, or your accounting.

AI is included in the plan with a monthly usage limit. You can see the process in the process demo or read more on what Chief of Staff does. The 14-day trial on your own data is free, with no card and no API key of your own. It starts with your first successful data upload. Check the pricing page for plans.

FAQ

When should I charge for a quote?

Charge when preparing it needs expert time, a site visit or design work, and the effort is large compared with the likely margin. If the quote is mostly assembly from a price list, keep it free.

Should a scoping fee be credited if the customer orders?

Often yes. Crediting the fee against the order shows confidence and filters out casual requests. If your deliverable is something the customer can use elsewhere, a non-credited fixed fee can also be reasonable.

Will charging for scoping scare customers away?

It may deter price-shoppers, which is partly the point. Serious buyers tend to accept it when you explain the reason, define what they receive and offer an indicative range first.

How do I recover the cost of site visits?

Charge a fixed survey or travel fee, credited against the order if they proceed. State it before you book the visit, not afterwards.

Can I reduce quoting effort without charging?

Yes. Collect key details upfront, reuse standard scope wording and make sure every quote gets a follow-up so the work is not wasted.

Summary

  • Free quoting costs paid hours; recover the cost where the effort is large and intent unproven.
  • Use the four-question test: desk review or more, effort versus margin, proven intent, reusability of your work.
  • Choose a structure: credited fee, fixed discovery, free ballpark then paid detail, or travel costs only.
  • Raise the fee early with a clear reason and an indicative range.
  • For quotes you keep free, cut wasted effort with intake questions, reusable wording and reliable follow-up.
