How to Fix a Mistake in an Inquiry Reply Email (With a Correction Template)
To fix a bad inquiry reply, send a short correction as soon as you spot the error: say what was wrong, give the right information, state what it changes, and name the next step. Do it by email in the same thread, with a person's name on it, and without a long apology.
Most buyers forgive a mistake that is corrected quickly and plainly. What damages the deal is silence, a vague "small update", or a correction that arrives only after the client has acted on the wrong figure. Below: a triage method, a template, and how to reduce the chance of repeating the error.
First, work out what kind of mistake it was
The tone and urgency of your correction depend on the type of error. Spend two minutes classifying it before you write anything.
- Cosmetic: a typo in a name or a wrong attachment title. A one-line note is enough.
- Factual: a wrong date, availability, specification or delivery term. Correct it in writing and confirm the client has not relied on it.
- Commercial: a wrong price, missing cost line or wrong scope. This needs a clear correction, a revised quote and, usually, a short call.
- Missed requirement: you answered a different question from the one the client asked. Acknowledge it and answer properly.
The more the client could act on the error (book, budget, tell their boss), the faster and more personal your correction should be.
Step-by-step: how to recover
- Stop the damage. Check whether anything else went out with the same error: a second thread, a calendar hold, a quote still marked as sent in Pipedrive or HubSpot.
- Confirm the right answer internally. Do not send a correction that might itself be wrong. Check the price list, availability or technical facts with the person who owns them.
- Contact the client the same day. If the error is commercial, do it before they respond to the original. Reply in the same thread so the history stays together.
- State the error and the fix in the first two lines. Do not bury it under pleasantries.
- Say what it changes. Does the total go up? Does the date move? Clients need the consequence, not just the fact.
- Offer a sensible way forward. A revised quote, a short call, or a clearly marked replacement document.
- Log it. Note the cause in your CRM or inbox so you can see patterns later.
Correction email template
Use this when the error is factual or commercial. Adjust the details, but keep the order: error, fix, impact, next step.
Subject: Correction to our quote for [project name]
Hello [Name],
I need to correct something in the reply we sent on [date]. We quoted [wrong item] as [wrong figure]. The correct figure is [right figure].
This changes the total from [old total] to [new total] excluding VAT. Everything else in the quote stays the same. I am sorry for the confusion; the mistake was ours.
I have attached a revised quote, marked as replacing the earlier version. If the earlier figure was already shared with your colleagues, please use the new one from now on.
If it helps, I can talk you through the change in a short call this week. Would [day] or [day] suit you?
Kind regards,
[Your name]
Version for a missed requirement
Hello [Name],
Looking back at your enquiry, I see my reply did not address [requirement]. That was an oversight on our side. Here is the answer: [answer].
Does that change anything about what you need? If so, I will update the quote today.
Kind regards,
[Your name]
Tone rules for the apology
One clear apology is enough. Over-apologising makes a small error look like a sign of a disorganised supplier.
- Own it. "The mistake was ours" beats "there seems to have been a misunderstanding".
- Do not blame the system or a colleague. The client does not care which tool or person caused it.
- Do not explain at length. One short reason at most, and only if it helps the client trust the new figure.
- Do not offer a discount by reflex. If the correct price is higher, explain it plainly. If the conversation turns to price, our guide to replying when a client says your quote is too expensive covers how to hold your position.
If the corrected price or scope simply does not fit the client's budget, that is still better than winning on a wrong number and renegotiating later. If the enquiry turns out not to be a fit at all, see how to say "we're not a fit" and keep the relationship.
Prevent the next mistake: add a check before sending
Most inquiry errors come from speed, copy-pasted old quotes, and nobody reading the original request twice. A few habits help:
- Re-read the client's enquiry against your draft before sending: did you answer every question?
- Use a fixed cover email structure so the key figures and dates are always in the same place.
- Ask questions first when the request is unclear, instead of guessing. The templates for requesting more information help here.
- For price or date promises, have a second person check them.

How BOTrento helps you catch errors before they go out
BOTrento Chief of Staff is a managed process for enquiries and quotes. It watches your mailbox and uploaded data, and prepares draft replies, quotes and follow-ups. Nothing is sent without a person approving it, so the check you need before sending is built into the process. The drafts are a starting point: you still read them against the original request.
It also picks up promises such as "I'll get back to you by Friday" and reminds you of them, and shows a daily overview of what needs attention. BOTrento does not send anything itself, does not read attachments (it works from the email text), and does not replace your CRM or accounting. You can see the flow on the process demo page, and there are pages for events and production, equipment rental and B2B services.
AI use is included in the plan with a monthly limit. The 14-day free trial needs no card and no API key of your own. It starts when you first upload data or connect a mailbox, so you test it on your real enquiries.
FAQ
How soon should I send a correction after a wrong inquiry reply?
As soon as you have verified the right information, ideally the same day. For a wrong price or date, act before the client responds or passes the figure on.
Should I apologise by phone or email?
For a commercial error, email gives a written record, and a short call afterwards adds a personal touch. For small errors, a brief email is enough.
Do I have to give a discount after misquoting a price?
No. A correct price should be stated plainly. Any concession is a separate commercial decision, not part of the apology.
What if the client already accepted the wrong quote?
Contact them immediately, explain the error and offer a revised quote. Check your terms, and take legal advice if the situation is contractual or disputed.
Summary
- Classify the error (cosmetic, factual, commercial, missed requirement) and verify the right answer before writing.
- Correct in the same thread, quickly: error, fix, impact, next step.
- Apologise once, own it, and do not offer a discount by reflex.
- Prevent repeats with a re-read against the original request and a second check on prices and dates.
- Keep a human approval step before anything is sent.
